Information for parents

Registration

On bringing your child to camp, you will be asked to register your child at the start of the day and sign them out at the end of the day.  This supplies EAC with a record of who is on camp at any one time and who the child left with.  The sign in / out book is located at the front desk in the reception area.  A senior staff member will check the signatures to make sure that they match one of the signatures supplied giving permission to collect the child.

If you would like your child to walk home at the end of the day EAC must have written permission from the parent.  An easy to use form is included in the welcome pack and available at the front desk should you choose this option.

On the first day your child attends camp you will need to bring the signature form and the medical form. These are included in your welcome pack which will be sent to you with your final booking confirmation.  These should be handed to the Camp Director or Assistant Camp Director at the front desk. Contact Details of Camp

The contact number of the camp is displayed on a poster in the reception area.  Contact cards are also available for you to pick up from the front desk.  If you have any concerns whilst your child is attending camp we ask that in the first instance you speak with the Camp Director who will try to resolve the situation.  Head Office will become involved if for some reason this does not meet your requirements.  Also, If you are running late, please inform the Camp Director to keep the staff informed.

Timetable

The camp day is structured so that the children follow a timetable participating in up to 6 activities each day.  This timetable provides a range of activities designed to be fun and challenge the participants including many perennial favourites.   Children are never forced to take part in an activity they do not want to do and the older age groups are encouraged to suggest activities that they want to participate in.  EAC finds that this helps to improve camp life through children learning that their opinion is important and understanding the needs of others.  Sometimes activities may change due to unsuitable weather conditions or other factors that may arise beyond our control.  In the event of wet weather, EAC have a full indoor activity programme that can easily be put in place.
When a child is attending a Plus Course, this will replace certain Activity Sessions during the day.

Staff

Staff are recruited from the education and recreation sector, many of whom return to work for us year on year.  Applicants are required to pass an interview, provide 2 references and clear a Criminal Records Bureau check.  Other relevant qualifications are checked and copies of certificates are stored at Head Office.  Before the camp commences, employees attend an induction day covering our policies and procedures, child protection and equal opportunities to name a few.

Camp Security

EAC seeks to use high quality facilities of some of the most prestigious schools in the UK.  Each site is secure and any visitors attending must sign in and wear a visitor’s badge.  Staff wear company uniform at all times so are easily recognisable to the children.  If you would like to visit the camp before enrolling a child this can be arranged during EAC’s operational period with the Camp Director.  All children are registered with their Group Leader at the start of the morning and afternoon with regular head counts happening throughout the day.
Fire procedures are read aloud to the children at morning and afternoon registration.  A fire drill is conducted on the first day of camp.

Insurance

Every camp is covered by public liability and employer’s liability insurance cover.  Optional insurance is available through Royal and Sun Alliance.  The policy covers cancellation, curtailment, personal public liability, medical expenses, personal accident benefit and loss of personal baggage and items.  EAC strongly recommends that you purchase insurance and this is automatically added to your ‘trolley’ unless otherwise stated at the time of booking.

Lost Property

EAC advise that children do not bring or wear good clothes or bring expensive items to camp.  If an item is lost at camp, EAC cannot guarantee the safe return but will do our very best to ensure items clearly labelled with your child’s full name are returned.  If after a month items have not been claimed, EAC donate the items left in lost property to charity.

Packed Lunch

Every child that attends camp must have a lunch.  EAC operate their own healthy lunch service and are able to cater for different diets.  EAC advise that if your child is bringing a packed lunch with them to camp, a cool bag is supplied with it to keep the food fresh.  If a child does not have a lunch, an EAC lunch will be provided and the parent will be billed at the end of the day.
A mid morning and afternoon snack is included in the Activity Camp price along with a drink.

Photography and Excursions

It is automatically assumed that photos can be taken of the children at camp for future promotional material and that they are allowed to participate in activities offsite fully supervised by staff.  All medical details are taken by their group leaders when taking the children to participate in an activity offsite.  If you do not want either of these to occur then please speak with your Camp Director on the first day your child attends camp.

Groups, siblings and friends

If you would prefer your child to be in a group with another child please state this at the time of booking.  EAC will try to grant requests but cannot guarantee this due to safety considerations, ratios and group dynamics.  Normally, it is the older child that moves to the younger group.
EAC are also able to offer a group discount scheme when booking children for weekly tickets, seasonal tickets and plus courses.
